3. Purposes
We process your data for various purposes. The main purposes are described below. Other purposes for which we process data are closely related to the purposes described below. If we are going to process data for a purpose that is not related to the purposes below, we will inform you in a timely manner.
a. Customer Relations and Customer Administration
It is necessary for us to be able to maintain contact with you. In order to optimise customer contact, we want to be able to analyse customer contact. We also process complaints by name in order to resolve them.
It is important for us to establish how our relationship with you came to be and to monitor it. We need to know whether you have placed an order on the Parfumado Shop, whether you have an active or inactive subscription, whether you are an Interested Party or whether you have come into contact with us in some other way. To this end, we process your name, address, email address, telephone number (if known to us), gender (if known to us), payment status, payment history, current order, order history, subscription status, and the duration of your membership.
With regard to our B2B relations, we also need to be able to maintain contact and the relationship. For this purpose, we process name, address details, email address, telephone number (if known to us), payment status, payment history, and current orders.
b. Customer Satisfaction and Service
Customer satisfaction is of great importance to us. An important part of our service is to advise on perfume and share inspiration related to perfume. You can contact us with all your questions about perfume. We provide a pre-selection and advise you which fragrances may suit you and that you may like. For this pre-selection, advice and inspiration sharing, we process your name, gender (if known to us), age group (if known to us), current order, order history, future orders, the perfume and beauty quiz (if completed) and your fragrance profile (if known to us).
In the context of customer satisfaction and improving our business performance, we also work with loyalty and referral programmes as well as customer satisfaction surveys. For this purpose, we process your name, address details, email address, gender (if known to us), telephone number (if known to us), payment status, payment history, current order, order history, membership duration, perfume and beauty quiz (if completed), fragrance profile (if known to us), any complaints by name and the feedback you give us in our customer satisfaction surveys.
In the context of customer satisfaction, we also consider it important to analyse which fragrances are popular among our customers and which are missing from our product range. This way we can estimate which fragrances we should buy and determine, for example, the fragrance of the month. For this purpose, we process your current order, order history, future orders, and subscription status.
We want to be able to detect and solve any shortcomings and problems with orders as quickly as possible for all our customers and business partners. Any shortcomings in the order are recorded so that we can analyse them and prevent them from happening again in the future. For this purpose, we process your name, address details, email address (in case of shipment with track & trace code) and any complaints (by name). The same applies in the event of disputes. In the event of technical problems, we use the information necessary to identify and resolve the problem such as name, address, email, bank details, payment status, payment history, order history, membership duration, subscription status, IP addresses.
c. Marketing Purposes
We like to be able to keep you informed about the latest Parfumado news, offers and promotions and also to share inspiration. In order to be able to contact you for targeted offers and promotions, we analyse your Parfumado (perfume and beauty) profile. You may be contacted via newsletters, promotions and sampling campaigns provided that, where legally required, you have given respective consent. For this purpose, we process your name, email address, email preferences, address details, membership duration, subscription status, gender (if known to us), age or age group (if known to us) and other personal preferences or information as shared with us in the perfume and beauty quiz or surveys.
d. Targeted Sampling Campaigns & Reviews
The Parfumado Group concludes collaborations with perfume and beauty brands that want to send samples of beauty products and perfume to our subscribers and Interested Parties.
We may approach subscribers and Interested Parties who have completed the perfume and beauty quiz to ask if they would like to claim a sample, or send our subscribers a sample based on the Parfumado (perfume and beauty) profile. After receiving the sample, we may ask you to give your opinion on the sample via a post-sample survey, and ask you to write a review. We share this information with Rocket Campaigns B.V., an affiliate of ours, which is part of the Parfumado Group, which shares it with the brand partner behind the sampling campaign. These reviews can also be used by the brand partner on their own website or on websites of retailers they work with. We will always inform you about this and the respective brand partner when we ask you for a review. For this purpose, we process your name, email address and personal data that may be included in the review. We may use the data from the post-sample surveys in general, anonymous reports and share these with the beauty and perfume brands behind the sampling campaigns.
We may also approach subscribers and Interested Parties to participate in the Rocket Campaigns B.V. panel, where you have to complete an extensive beauty and perfume quiz. We process name, email address, perfume and beauty quiz results, gender (if known to us), age or age group. If you become a member of the Rocket Campaigns B.V. panel or otherwise request a sample, the Rocket Campaigns B.V. general conditions and privacy policy apply.
In addition, we may ask you to review products we offer on our Parfumado Shop and website. If you submit a review, we collect your email and IP address when you submit the review so we can verify the authenticity of your review and protect against fake reviews.
e. Delivery of Perfumes, Orders and Samples
If you have a perfume subscription with us, place an order in the Parfumado Shop or participate in a sample campaign, we need to be able to send your perfume, order or sample to you. It is therefore necessary for us to have your address. We process your name, address, current order number and scope and in case of a package with track & trace code, also your email address.
f. Financial Administration and Accounting Obligation
We need to process personal data to administer and check payments, authorisations and payment reversals. We need to store certain personal financial data for a longer period of time in order to comply with our legal obligation in accordance with applicable law. It is necessary to process certain personal data in order to execute the payment. In this context, we process name, contact details, bank details, payment status, order history and payment history.
g. Recruitment
If you apply for a job with us, we also have to process personal data. This includes your name, gender, address details, email address, personal data contained in your CV and cover letter. If you join us, we save the data that we are legally obliged to process such as name, address, age, bank details, as well as the information in your personnel file such as the personal data contained in your employment contract and documents relating to it, as well as documentation relating to leave and performance.
4. Cookies
We use first- and third-party cookies on our website. Cookies are small information files that can be automatically stored on, or read out from, the device (including a PC, tablet or smartphone) of the website’s visitor. This is done through the web browser on the device.
We use cookies on our website for the following purposes:
- to enable the functionality of our website (technical and functional cookies);

-
to build a profile of online behaviour and enable us to provide you with advertisements relevant to you (marketing cookies).
When you visit our website for the first time, we will display a message with an explanation about the cookies we use. We will ask for your consent to place the cookies, when we are required to do so. Please click here for an overview of the cookies we use.
5. Legal Basis
If we want to process your personal data, we must have a legal basis under the GDPR. The GDPR recognises six different types of bases. We base our processing on four of these bases, which are described below.
a. Consent
If consent is given for the processing, you must give it to us explicitly and in writing. You may withdraw your consent at any time.
We base our processing for marketing purposes, such as efficient advertising and targeting, on consent. If you do not allow our cookies, we may not process your personal data that we need for effective advertising and targeting. We will also ask for consent to approach you with newsletters and promotions. Of course, you can always indicate that you no longer wish to receive these messages. Every newsletter includes an unsubscribe link.
If you participate in a sample campaign and share your information through a beauty and perfume quiz, post-sample survey or reviews and leave your email address (so that the beauty or perfume brand can contact you after the campaign), we will process this on the basis of your consent.
b. Necessary for the Performance of the Contract
We may process personal data if this is necessary for the performance of our contract with you. The processing will be a natural consequence of the contract. We base the processing of our customer relationship and customer administration, perfume pre-selection and consultation, shipping of perfumes, orders and samples on this principle.
c. Necessary for a Legal Obligation
The processing of personal data may be necessary in order to comply with a legal obligation. This often involves a minimum length of time that personal data is to be retained. This includes the processing of financial records and accounting obligations, purchase and sales records, and accounts receivable and payable.
d. Necessary on the Grounds of a Legitimate Interest
Processing personal data is also permitted if this is necessary for the protection of our legitimate interests. We always weigh our interests against your interests, rights and freedoms before choosing to base our processing on a legitimate interest. We will then see, for example, if we cannot achieve the same objective in a different way without needing to process your data.
We base the processing of our analyses and forecasts on the principle of our legitimate interest, which includes ensuring the security and proper functioning of our website and improving our services and platform as well as customer support based on your interactions and preferences. With regard to our processing for the purpose of customer satisfaction, we base this on our legitimate interest as well as on the necessity to execute the contract we have concluded with you.
In the context of employee recruitment, we process your personal data such as your name, email address, telephone number, CV and possible cover letter also on the basis of our legitimate interest, which includes identifying and hiring qualified candidates to meet our current and future personnel needs, and in conducting an efficient and fair recruitment process in the interest of both our company and the applicants.

Promptly and within one month of receiving your request at the latest, we will let you know whether we can comply with your request. In the case of complex requests, this period may be extended by two months.
Please note that we may request specific information to confirm your identity. This way fraud and abuse can be prevented.
